What the Share Availability button does
Someone asks "when are you free this week?" and the honest answer lives across every calendar you manage. The Share Availability button answers it in one click. It reads every calendar in your manyCalendars view, computes the open slots between your meetings, and builds a clean plain-text list you can paste straight into email or chat.
The whole computation happens locally in your browser. No event titles, client names, or meeting details appear in the output. The recipient sees when you are free, nothing else.
Before you start
Availability is only as accurate as the calendars behind it. Two quick checks:
Make sure your calendars are fresh. Look at the status dots in the sidebar. Green means synced within the last hour. If anything is yellow or red, click Refresh All first.
Make sure the right calendars are turned on. Free slots are computed from the calendars that are active in your sidebar. If a calendar is toggled off, its meetings will not block any slots.
Share Availability works on every plan. On the free plan it covers every calendar you add manually. If your schedule also lives in calendars you cannot export, Pro adds Tab Sync so those show up too and the list reflects everything.
Step by step
- Open your manyCalendars view and find Quick Actions in the sidebar.
- Click Share Availability. A modal opens with three controls: Range, Hours, and Timezone.
- Pick a Range: this week, next week, or the next two weeks.
- Set your Hours window. The default is 9:00 AM to 5:00 PM. Only free time inside this window is offered, so you never accidentally propose a 7 AM call.
- Check the Timezone. It is auto-detected from your system. Switch it if you want the times shown in the recipient's zone.
- Review the preview text. It updates instantly as you adjust the controls.
- Click Copy to Clipboard, then paste the list into your email or chat reply.
From click to paste, the whole thing takes under 30 seconds.
Tip: scheduling with someone in another timezone? Switch the Timezone dropdown to their zone before you copy. Every slot converts automatically and the first line labels the timezone, so there is no mental math and no ambiguity on their end.
What the output looks like
The list is built to be pasted anywhere: Slack, email, a text message. A few things it does for you automatically:
- Only free time appears. Your meetings and their details stay private.
- Gaps shorter than 15 minutes are filtered out. A 10 minute gap cannot fit a real meeting, so it is not offered.
- Fully booked days are omitted. If Wednesday is wall to wall, it simply does not show up.
- The timezone is labeled on the first line, for example "I'm available (Eastern (NYC)):".
If something looks off
A slot shows as open but you are actually busy. One of your calendars is probably stale or toggled off. Check the status dots, click Refresh All, and confirm every calendar that should count is active.
A slot you know is free is missing. Check that your Hours window covers it, and look for a leftover event on one of your calendars that is still blocking the time.
The times look shifted. The Timezone dropdown is set to a different zone than you expected. Set it back to your own zone and the times will match your local clock.
