Meeting notifications (Pro)

What meeting notifications do
Meeting notifications send a desktop reminder before each meeting, pulled from every calendar in your unified view. One reminder system across all your clients, instead of five different apps each deciding whether to alert you.
Reminders are generated locally by the extension. There is no server push and no cloud relay. Your calendars are read and merged on your device, not in our cloud.
This is a Pro feature. If you are on the free tier, the toggle appears locked in Settings. You can upgrade to Pro to unlock it.
Step 1: Turn on meeting reminders
Click the manyCalendars icon in your toolbar, then open Settings (the gear icon). Find the Notifications section and switch on Meeting reminders.
The first time you enable it, your browser asks for permission to show notifications. Click Allow. If you dismissed the prompt by accident, click the lock icon in the address bar and set Notifications to Allow, then toggle the setting off and on again.
Step 2: Set your lead time
Choose how far ahead you want the reminder. Most people pick 5 or 10 minutes. If you work back to back across clients, a shorter lead time keeps reminders from stacking up.
You can also pick which calendars trigger reminders. Turn off a calendar in the Notifications section and its events stay visible in your view but stay quiet. Useful for a shared team calendar you watch but do not attend.
Step 3: Send a test
Use the Send test notification button in the Notifications section. A sample reminder should appear in the corner of your screen within a few seconds.
No test arrives? Check these in order:
- Browser notification permission is set to Allow for the extension
- Your operating system is not in a focus or do not disturb mode
- At least one browser window is open. Reminders fire from the extension, so the browser needs to be running
How reminders work in Privacy Mode
Reminders match your active Privacy Mode appearance. With the default generic view, a reminder that pops during a screen share reads as a plain calendar alert with no product name and no client details, so it does not surface another client's meeting on the shared screen.
In-app toasts stay suppressed while Privacy Mode is on, so nothing inside the app changes that behavior. Desktop reminders are the one alert that still gets through, and they arrive in the neutral style.
Tip: Windows Focus Assist and macOS Focus can silence browser notifications during screen shares, which is exactly when you need them. Add your browser to the allowed list in your OS focus settings so reminders still come through while you present.
Good to know
Reminders use the event data from your last Tab Sync or your connected ICS feeds. If a meeting moved after your last sync, sync the tab again so the reminder fires at the right time. ICS feeds refresh in the background and do not need a manual update.
