How to Get Meeting Reminders From Multiple Calendars

The meeting you miss is on the calendar you are not looking at

Nobody misses the meeting on the calendar they have open. They miss the one on the other calendar, the client Outlook account that only reminds you inside its own tab, in a browser profile you closed at lunch. Getting meeting reminders from multiple calendars into one stream is the difference between "joining now" and the apology email.

If you work with several clients, the math is against you. Three clients means three accounts, each convinced it is your only calendar, each notifying into its own little silo. Add a personal calendar and a side project, and you are trusting five separate notification systems to all be logged in, all be open, and all have permission to interrupt you. One of them will not be.

One reminder stream for everything

Step 1: Install manyCalendars and add every calendar

Open Settings and flip on meeting reminders in the notifications section. That single toggle covers every calendar in your merged view, including the Tab Sync ones.

Step 3: Pick your lead time

Five minutes is the default and suits most people: enough to wrap up a thought, not enough to forget again. Back-to-back schedule? Set 1 or 2 minutes. Need to walk to a quiet room first? 15 or 30.

Step 4: Send a test notification

There is a test button next to the settings. Use it. It is much better to discover a blocked notification now than during Thursday's kickoff.

Step 5: If nothing pops, check your OS

Operating systems love to silence browsers. On macOS, check System Settings > Notifications and make sure your browser is allowed. On Windows, check notification settings and any focus mode. Then run the test again.

Honest limits

Reminders come from the extension, so your browser has to be running. It can be minimized or on another desktop, but if the browser is closed or the laptop is asleep, nothing fires. manyCalendars is a desktop extension for Chrome, Edge, and Firefox, so there are no phone push notifications, and we would rather say that plainly than let you find out the hard way.

One more nuance: a Tab Sync calendar shows the events from the last time its tab was synced. If a client adds a meeting and you have not had that calendar's tab open since, the merged view cannot know about it yet. Feed-based calendars refresh on their own.
